No approval - Uploading a new version of a policy and resetting training records

When a major update is made to a policy, you may want to ensure that all employees assigned to it as mandatory complete the latest attestation, even if they have already attested to earlier versions. The Skillcast Policy Hub allows you to upload a new version and reset completed training records, ensuring end users are notified and required to re-attest. This process is available when using the no-approval workflow or when approvals are recorded manually.

Updating the Policy and Resetting Training Records

You can upload a new version of a policy and reset training records directly from the Policy Management area.

  • Go to Management Console, open Policy Management, use the search to locate the policy, and select its title to edit

  • Open the Documents tab and select Update Policy document

  • In the pop-up, ensure that the update type is set to New version. Complete the required fields and upload the policy document or documents

  • If there are existing completed training records, you will see the option to reset completed training records. If no records can be reset, this field will be disabled and a message will explain why

  • Select Upload new policy document. A confirmation pop-up will display how many completed training records will be reset. Select Ok to continue if you agree

Once completed training records have been reset, invitation emails will be generated automatically. Users will receive a deadline based on the initial deadline period set in the Attestation tab, for example 30 days. If you need help sending invitation emails, or ensuring you have the correct permissions, contact your Customer Success Manager.

Tips

  • If the reset option is disabled, check whether any users have already completed the policy in its current version

  • Ensure the attestation deadline period is correct before uploading the new version so users receive an appropriate completion window

  • If you manage several policies, consider updating version notes to track what has changed and why

Limitations

  • Training records can only be reset when there are existing completed records associated with the previous version

  • Resetting training records will notify all affected users, so ensure the new version is final before uploading
