Managing Delegates on the Waiting List for an Event Session

This article explains how you can review and manage delegates who are on a waiting list for an event session. This is useful for ensuring that available spaces are filled efficiently and that your learners have the best possible chance of attending the sessions they need.

Searching for an Event

To begin managing your waiting list, you first need to locate the event.

  • Access the Management Console and select Event Management

  • Click Search courses and events

  • Use available filters such as Domain and Keywords to narrow your search, then click Search

  • Once you find the relevant event, select Edit to open the event and session details

Managing Delegates on the Waiting List

From within the session details, you can review and update delegates on the waiting list.

  • Navigate to the session and click Manage delegates

  • On the Manage Delegates screen, you can see all users currently on the waiting list

To add new users to the waiting list:

  • Select Add delegates

  • Search for the user, tick the checkbox next to their name, and choose Add to waiting list

  • This option is only available if the maximum waiting list capacity (set when the session was created) has not been reached

To remove users from the waiting list:

  • Locate the Waiting List section on the Manage Delegates screen

  • Select the delegate you want to remove

  • Click Remove from waiting list

Enrolling Delegates from the Waiting List

If places on the session become available (for example, due to cancellations), you can move delegates from the waiting list into the session.

  • Scroll to the Waiting List area on the Manage Delegates screen

  • Select the delegate or multiple delegates you would like to enrol

  • Ensure that places are available – you can check this using the space indicator above the waiting list

  • Select Add/Change enrolment

  • If a space is available, the delegate will appear in the enrolled list

Tips

  • Regularly check waiting lists for upcoming events, especially close to the session date

  • If your waiting list consistently reaches maximum capacity, consider increasing session size or scheduling additional sessions

Limitations

  • The waiting list capacity can only be changed during session creation

  • Delegates are not automatically enrolled when spaces free up – enrolment must be actioned manually
