How to Deploy the Aida App to Microsoft Teams

Introduction

This guide will walk you through deploying the Aida app across your organisation using the Microsoft Teams admin console. By following these steps, you'll make Aida available for your users and, if you choose, pin it directly to their Teams navigation panel for easy access.

Request the Aida App

To obtain the Aida app package, please contact your Customer Success Manager. You can do this by:

Steps to Deploy Aida in Teams

  1. Access the Teams admin console

  2. Upload the Aida app

    • In the left-hand menu, select Teams apps > Manage apps.

    • Click Actions (top-right corner) and choose Upload new app.

    • Select the downloaded zip file (TeamsAidaApp.zip) and upload it.

  3. Create or update a setup policy

    • Go to Teams apps > Setup policies.

    • Open the policy you already use to deploy Teams apps.

    • If you don't have a custom policy, create one.

  4. Add the Aida app to the policy

    • On your chosen custom policy, select Add apps.

    • Search for Aida, click Select, then choose Add at the bottom.

  5. (Optional) Pin Aida to the Teams menu panel

    • Under the Pinned Apps section in the same policy, click + Add apps.

    • Search for Ask Aida and select it.

    • Click Save to confirm your changes.

  6. Assign the policy to users

    • In Teams apps > Setup policies, go to the Group policy assignment tab.

    • Click + Add, then choose the group and the custom policy you've created.

    • Select Apply.

  7. Wait for deployment

    • It may take a few hours before Aida appears for the users you've assigned.

Tips and Troubleshooting

  • Check your policy assignments: If users don't see Aida after a few hours, confirm they are part of the assigned group.

  • Pinning Aida: Pinning ensures Aida is visible on the left panel, reducing the need for users to search for it.

  • Test before rolling out: Try applying the policy to a small group first to confirm everything is working as expected.

Limitations

Note: Deployment across large organisations can take several hours. Users may need to restart Teams to see the app appear.
