Introduction
This article guides you through editing Surveys and Declarations in the Skillcast course editor. These modules behave differently from regular training courses, so it is important that you follow each step carefully.
Surveys and Declarations use the Regtech Multiple Choice Question element.
This element includes the question, its options, confirmation questions, alerts, resolutions, and other behaviour settings. Understanding how these work will help you make accurate edits.
Definition:
A Survey or Declaration is a module made up of questions that users must answer before submitting. Each question has unique settings and identifiers that control how it appears, behaves, and reports.
Important:
Do not edit Surveys or Declarations that already have been assigned to users. This can break reporting and prevent submissions.
General Considerations and Requirements
Editing Surveys and Declarations requires attention to structure:
You should have basic knowledge of the course editor before editing Surveys/Declarations.
Because Surveys and Declarations work differently from standard courses, errors are easier to introduce.
All questions must have a unique identifier. Without this, the Survey/Declaration will not function.
All questions must be answered by the user. The Submit button will not work if any required question is blank.
Most questions are set to Hide on all screens so users cannot skip them.
If the first question on a page is deleted, the replacement question must be set to Always visible.
Understanding Question Types
There are three question types available:
Multiple choice question (MCQ)
Text input question
File upload question
Each question type includes three common settings.
Required (Properties tab)
Questions are required by default. If a question should be optional, change this setting. Optional questions must appear in a logical sequence so users understand when they need to answer them.
Identifier (Properties tab)
Each question must have a unique identifier such as q1, q2, q3. Identifiers ensure the page logic functions correctly.
Editing Multiple Choice Questions
The Regtech Multiple Choice Question element has several configurable parts. These determine how users interact with the question.
Maintain response across submissions
If enabled, users see their previous responses when retaking a declaration.
Alternatively, you can choose to show only the submitted answer after module reset.
Input type
Controls how users choose their answers.
Button: each option appears as a separate button.
Select: options appear inside a drop-down list.
Option width
Changes how wide option buttons appear. This can help with readability when there are many options.
Option
Each option can include additional behaviour, such as:
Confirmation questions
Alerts
Resolutions
RAG ratings
Scores
Detail questions
File upload questions
Options are plain text fields. HTML is required for formatting or links.
Confirmation questions
Confirmation questions help ensure users provide the correct answer.
Example: If a user answers that they have glare on their screen, a confirmation question can prompt them to close blinds and re-check.
Next button action
Choose whether to show or hide the Next button.
Go to page
Used when directing the user to another page or page identifier.
Detail question
Adds a text input box for users to provide additional information.
File upload question
Allows users to upload a single file or a .zip file if multiple documents are needed.
Alert
Triggers an alert in the report. Alerts can also be included in automated emails to the user. Alerts appear as open alerts until reviewed by a manager.
Resolution
If an alert is triggered, the resolution text can be sent to the user by email. This closes the alert automatically.
RAG rating
Adds a colour code to the administrator’s report. Useful for confidence ratings or risk indicators.
Score
Assigns a number from 1 to 100 to an option. Often used for rating scales.
Add element
Displays another question after the user answers the current one. Select the identifier of the element you want to reveal.
Remove element
Removes a linked question. Use this when you no longer want a follow-up question to appear.
Editing and Managing Questions
Editing text in a question
Editing text works the same as in standard modules. Use the rich text editor for the question text. Options, alerts, and confirmations use plain text and require HTML formatting.
Replacing an image
Use the same process as image replacement in regular modules.
Deleting questions
When deleting a question:
Ensure all identifiers in the sequence remain valid.
Update Add element fields where needed.
If removing the first question in a section, set the new first question to Always visible.
To delete a whole section, use Delete Page Element and Content.
Adding new questions
When adding new questions:
Choose Regtech: Multiple Choice Question (not Exercise: Multiple Choice Question).
Assign a unique identifier.
Set Hide on all screens where needed.
Add follow-up questions using Add element.
Submission Settings
Submission settings are configured on the Review and Submit page under the Submit Button element.
Submission type
Controls how the system stores submissions.
Archive previous submissions: older submissions are archived.
Overwrite previous submissions: only the latest submission is stored.
Retain multiple submissions: all submissions are stored (default).
Anonymous submissions: for surveys only. Creates an anonymous aggregated report.
Note: Anonymous submissions do not generate alerts.
Automated Email Settings
These settings define the summary email sent when a user submits a survey or declaration.
The following fields are available:
Sender
CC or BCC email address
Subject
Introduction
Closed alerts
Open alerts
Conclusion
Only one email address may be used for CC or BCC.
If CC is used, we recommend CC only if there are open alerts.
If the sender address is changed, the client must confirm their email IP whitelisting.
Tips and Troubleshooting
Always check identifiers after adding or removing questions.
If a question does not appear during testing, review Hide on all screens settings.
If the Submit button does not work, verify that all required questions have identifiers and are visible in the correct sequence.
Always preview changes to avoid accidental breakages.
Limitations
Note: Surveys and declarations use strict sequencing. Editing them incorrectly can cause failures in reporting or prevent the module from completing. Avoid editing modules that have already been assigned to users.
