Nominating a colleague to respond to my approval requests while I am out of the office

This guide explains how you can nominate another colleague to receive and action approval submissions from compliance registers - such as the Gifts and Hospitality Register - when you are unavailable or out of the office. This ensures that approval workflows continue smoothly without delays.


How to Nominate a Colleague

Accessing the Out of Office Settings

To nominate a colleague:

  • Go to the relevant Compliance Register

  • Select the Settings tab

Within the Out of Office Setting, you can configure who will receive approval tasks on your behalf.

Setting Your Out of Office Period

Within the Out of Office settings:

  • Select the relevant date range for when you will be unavailable

  • Search for and select the colleague you wish to nominate to receive and action submissions for you

Allowing or Preventing Forwarding

You can choose whether your nominated colleague is permitted to forward approvals in situations where they also become unavailable.

Allow Forwarding – No

  • If your nominated colleague enables their own Out of Office setting

  • Submissions will not be forwarded to the next nominated person

  • This keeps approvals paused until they return

Allow Forwarding – Yes

  • If your nominated colleague enables their own Out of Office setting

  • Submissions will be forwarded automatically to the next nominated person in the workflow

  • This keeps the approval chain moving without interruption

Tips for Smooth Approval Delegation

  • Ensure your nominated colleague understands their temporary responsibilities

  • Select someone who is familiar with the relevant compliance register

  • Use clear date ranges so approvals revert back to you automatically upon your return
