Event email settings: Mapping templates

This article shows how to add and map email templates for events.

  • Event management

1. Create an email template. You can use any of the tags below for events, which update dynamically for each event. Plus, you can also use tags for standard email templates:

Information from the email-specific information field

Session dates, times, time zones

[eventApprovalStatus]

Current status: enrolled, registered, or rejected

2. Select Management Console > Event management > Email settings

3. Select the Users domain and select the Display Settings button

4. You’ll see a list of triggers to be mapped to the relevant email templates. For example, the Cancelled event/session field needs to be mapped to a cancellation-related email

5. The minimum triggers to set up are those under the Automatic approval tab. If using Line Manager or Learning & Development approvals for events, please set these up individually.

6. There are other tabs available:

  • Reminder Schedule

    Set the date and time when you want to start sending reminders. These go to event attendees and approvers who have bookings that need approval

  • Register interest

    Map templates for registering and unregistering interest, and set a reminder schedule

  • Waiting list

    Map templates for adding and removing users from the waiting list

  • Cancellation notification

    Map templates for sending cancellation notifications
