The Policy Hub does not only allow you to create and assign policies to users. You can also create a public policy page to securely share selected policies through a custom URL. This is useful if you work with external suppliers or stakeholders who need access to your policies but do not require a user account.
A public policy page does not track individual views, so you will not see which external users have accessed the content. However, any updates you make to your internal policies will be reflected on the public policy page automatically. You can also choose to secure the link with an access code.
Accessing Public Policy Pages
Click on Management Console at the top of your homepage.
Select Policy Management from the right-hand-side menu.
Click Public Policy Pages.
β
Creating or updating a public policy page
To add a new page, select New policy Page from the Policy Page drop-down. To edit an existing page, select it from the drop-down list and update the information as needed.
You will see the following fields:
Title
Enter the name of the policy page. This will be displayed to anyone accessing the page.
Description
Enter a short description that users will see when they open the page.
URL
The format will be:
https://[Clientcode].e-learningportal.com/policies/
Type in the word or phrase you want to use to customise the URL. For example, entering suppliers will create:
https://[Clientcode].e-learningportal.com/policies/suppliers
Your client code will be applied automatically.
Access code (optional)
You can set an access code up to 19 characters long. Users must enter this code before viewing the page. If you leave this blank, anyone with the URL can access the policies.
Domain
Choose the domain where you want to save the policy page.
Status
Set the page to live or suspend it when it is no longer in use.
Policies
Double click the policies you want to add. Double click again to remove any selected policies.
Once you are happy with your choices, click Add policy page to create the page or Update policy page to save changes.
Sharing the page
Share the policy page link with external users who need to view your policies. If you have set an access code, remember to share that as well.
β
Tips and troubleshooting
Make sure the policies you want to display are assigned to the correct domain.
If users report that the page is unavailable, check the status is set to live.
If you have set an access code, confirm that it has been entered correctly.
Limitations
Note: Public policy pages do not provide tracking or identify who has viewed the content.
