How to configure user provisioning from Workday to Skillcast

This article walks you through configuring Skillcast to allow automated user provisioning via an external connection with Workday HR.

Before you start

Speak to your Customer Success Manager (CSM) and Relationship Manager (RM) about:

  • User provisioning options and costs

  • Domains you want to use for auto-provisioning

  • Attributes or dates you need to capture

If your CSM will manage the Skillcast setup part of the integration, please provide all the necessary details and fields from your custom report in Workday to your CSM.

Preparing to send data from Workday to Skillcast

  1. Prepare a custom report in Workday and activate it as a webservice

  2. Copy the WSDL URL generated. The report should have all the data you want to send to Skillcast for live users, including a unique ID

  3. When you prepare the "Integration System User", copy the username, domain and password for the ISU

Adding Workday connection to Skillcast

This process is usually completed by your CSM

First, you will need to use the Workday details to add a new external connection

  • Select Management console > Configuration > External connections

  • Check the Connection dropdown is Add new connection

  • Select the Type dropdown and choose Workday

  • This reveals the fields to be completed using Workday's details, including the WSDL URL generated from the custom report and the Username, Password and domain from the ISU (should be something like ISU_Skillcast@yourdomain)​
    - Name: Name for the connection
    - Domain: User domain you will provision users into
    - Features: Tick 'User Provisioning'
    - Provisioning WSDL: Paste in the WSDL URL from the details of your custom report in WorkDay
    - Provisioning Action: Webservice action, found in the details of your custom report in WorkDay
    -Username: For the ISU created in Workday – without any details after the @
    - Password: For the ISU created in Workday
    - Domain: Text after the @ in the username
    - Provisioning Namespace: Webservice Namespace, found in the details of your custom report in Workday
    - Response Namespace: By default this is wd, unless your organisation has customised this
    -API version: Skillcast supports version v37.1, because this was current at the time of integration.

Mapping fields on custom reports to attributes

The process of setting up attributes on Skillcast is usually completed by your CSM

Before setting up and testing provisioning for the first time, please make sure all columns on your custom report in Workday have a matching attribute on the Skillcast application.

Also, please make sure you add the column names to the attribute as the data feed name. This ensures that when provisioning users, the integration knows which attributes should be populated from which Column.

Setting up user provisioning on the domain and test

This process is usually completed by your CSM

After user attributes have been mapped, you can add the connection to the domain you need to provision users into. We recommend that you test and preview changes before processing or scheduling the feed to run.

Limitations and considerations

1. When testing or setting up this integration, please check you're included in the provisioning or you have a test account set up in another domain. Failing to do so will deactivate your access by archiving your account.

2. You must activate user provisioning to send training records to Workday.
