Set up Aida on policies

NOTE: This process is usually completed by your Customer Success Manager at Skillcast; however, the steps are detailed below:

Important Notice: PDF Format Requirements for Aida Indexing

To ensure that Aida can properly index, search, and retrieve information from policy documents, all PDF files must be created as text-based PDFs.
Please note:

  • Scanned or image-based PDFs cannot be read by Aida and will result in missing or inaccessible content.

  • When creating PDFs, ensure the text is selectable and not embedded as an image.

First, Aida will need to be enabled on the portal. Go to Management Console>Configuration>Portal functionality. Search for and enable the "Index content for AI features" option.

Go to Management Console>Configuration>Portal Configuration>AI Settings.

Select the Settings option.

Set Aida default mode for policies for All assigned content.

Select the display mode for policies. The option could be either Side bar or Pop up. Side bar option will open Aida next to the policy on the right; the pop-up will open a window in front of the policy.

If you would like Aida to use all content on the portal, select the Content option.

Select the Update index button.

Depending on the amount of content, this might take a couple of minutes to complete. The pop-up will tell you once the indexing is ready.

To index only specific policies, go to Management Console>Policy management. Search for the relevant policy and select it. Select the AI Settings option.

Enable the Index content for AI search and choose All assigned content.

If you experience any issues, select "Contact Support" by clicking the Info icon on your portal.
