Uploading Multiple Users - Introduction and Best Practices

The Upload Multiple Users feature allows administrators to add, update, reactivate, and archive users in bulk using an Excel spreadsheet.

To access this feature: Management Console > User Management > Upload Multiple Users

Using this tool, administrators can:

  • Download a spreadsheet containing existing users from a selected domain

  • Upload multiple users at once

  • Preview changes before they are applied

During the preview stage, the system compares the uploaded data against existing user records and identifies:

  • Users to be Added - New users found in the spreadsheet but not in the portal

  • Users to be Reactivated - Archived users that are included in the spreadsheet

  • Users to be Updated - Existing users whose details have changed

  • Users to be Archived - Users in the portal who are not included in the spreadsheet

Preparing Your Spreadsheet

Before uploading your file, ensure:

  • The spreadsheet is saved in the correct Excel format

  • Email addresses do not contain extra spaces

  • Email addresses do not include unsupported special characters

  • There are no duplicate Unique Identifiers (for example, email addresses or employee IDs)

Duplicate Unique Identifiers can prevent the upload from processing correctly.

Important: Unique Identifiers

  • The system uses a Unique Identifier, such as an email address or employee ID, to match users during the upload process.

  • If a user's Unique Identifier has changed, the system will treat them as a new user. For example, if an email address has been updated:

    • The existing account may appear in the Users to be Archived list

    • A new account may appear in the Users to be Added list

  • To avoid creating duplicate accounts, update the user's Unique Identifier in the portal before processing the upload.

  • As a best practice, review the Users to be Added and Users to be Archived tabs in the preview to identify any potential duplicates before applying changes.

Access Requirements

Administrators require the following permissions:

  • Email Communications - Send Invitation Emails

  • User Management - Edit User Attributes

  • User Management - Upload Multiple Users

Administrators can only download and upload user data for domains they have permission to access.
