What is the difference between active and potential users?

When discussing billing, you may hear the terms active users and potential users. These refer to different types of user activity within your subscription. Understanding the distinction helps you track usage more accurately.


Active users

Active users are those who have used a licence during the current subscription period. This includes:

  • Users who have accessed at least one module from your subscription library

  • Users who have logged into the LMS or compliance tool

  • Anyone who has taken an action that consumes a licence

These users count towards your current usage total.


Potential users

Potential users are those who could use a licence but have not done so yet. Examples include:

  • Users who have been assigned at least one course but have not started it

  • Users who have access to the LMS or compliance tool but have not logged in

  • Any user who is eligible to consume a licence but has not triggered usage

These users do not consume a licence until they access a course or the platform.
