You can bulk upload event training records in the Skillcast portal. This helps you import or migrate training history easily so that all records are stored in one place. For example, you may want to upload training records for a Manager Training event, including those enrolled, registered and attended.
Before you begin, you must ensure there is a learning path with an activity available for the upload. The activity must also be mapped to a category.
Creating the activity for your upload
To upload records, you first need an event activity to upload them against.
Click on Management Console at the top of your homepage.
Select Content Management from the menu on the right-hand side.
Select Add a new learning path and under Add a new activity, click Event. This adds a new Event where you can store your training records.
Enter an event name and an optional description.
Choose a Content Category from the drop-down list.
Click Add.
Once the event activity exists, you can start uploading records.
Uploading your training records
Click on Management Console at the top of your homepage.
Select User Management from the menu on the right-hand side.
Click on Upload training records.
You will see a search form that allows you to select a content category or enter keywords. Click Search to display matching results.
From the results list, select the event you want to upload records for.
Selecting your user domain and identifier
If your portal has multiple user domains, choose the domain you want to upload records for. Each domain requires its own upload.
You will then see a drop-down menu to choose the Unique Identifier that will match your records to users. You may see more than one option (such as email or employee ID) if your portal stores multiple identifiers. You can also download a template Excel file, which you must use for your upload.
Completing the template
The template includes six columns. The minimum required fields are:
Unique identifier (based on your chosen option)
Lastname
Startdate
Status
You can use the following values for Status:
Not enrolled
Enrolled
Attended
Registered
Cancelled
Once your data is complete, save the file to your device.
Here is an example of some test data:
Uploading your file
Select the completed file.
Click Upload Training records.
The page will confirm the number of successfully uploaded records. If some records are invalid, you can download the invalid records Excel file to review the reasons they could not be uploaded.
If you want to add a comment or upload an evidence file for the completed records, you can do that before finalising the upload. When you are ready, click Create training records.
Tips and troubleshooting
Check that your activity is mapped to a category before uploading.
Make sure dates are formatted consistently to avoid validation errors.
Use the downloaded template every time to prevent missing or misformatted fields.
Limitations
Note: You must upload records separately for each user domain. Records cannot be combined across domains in a single upload.
