The Skillcast portal allows you to bulk upload activity and event training records. This is particularly useful when migrating training history from another Learning Management System. For example, you may want to upload completion records for an Anti-Money Laundering course that users completed elsewhere. By uploading these records, you can continue delivering the same course or the Skillcast equivalent while maintaining a complete and accurate training history for reporting.
Before uploading records, ensure that the learning path and activity you want to upload against already exist and that the activity has a category assigned.
Preparing the activity for upload
Click on Management Console at the top of your homepage.
Select Content Management from the right-hand-side menu.
Use the search form to find an existing learning path or add a new one. You can type a keyword or select a domain and click Search.
Click the learning path code you want to review.
Select Edit content.
Click Edit next to the activity.
Ensure a content category is selected from the drop-down, then click Update.
Once the activity is correctly set up, you can upload your records.
Uploading your training records
Click on Management Console at the top of your homepage.
Select User Management from the right-hand-side menu.
Click Upload training records.
You will see a search form where you can choose a content category or enter keywords. Click Search to display results.
From the list, click the title of the activity you want to upload records against.
Choosing your user domain and Unique Identifier
If your portal has multiple user domains, select the domain you want to upload records for. You need to complete a separate upload for each domain.
You will then see a drop-down showing the Unique Identifier that will be used to match your records to users. You may see multiple options (such as email or employee ID) if your portal stores more than one identifier type.
You can also download a template Excel file. You must use this template, as uploads must follow the exact format provided.
Completing the template
The template contains six columns. At a minimum, you must complete:
Unique identifier (based on your selection)
Lastname
Startdate
Status
Valid Status values are:
Completed
Incomplete
Failed
Once all the information is added, save the file to your device.
Here is an example of a completed template:
Uploading your file
Select the completed file.
Click Upload Training records.
The page will show the number of records uploaded successfully. If any records are invalid, you can download an Excel file listing the issues so you can correct and retry.
You can also add a comment or upload an evidence file for completed records. When ready, click Create training records to complete the upload.
Tips and troubleshooting
Make sure the activity has a content category before uploading.
Check the date format used in the template to avoid validation errors.
If user matching fails, verify that the Unique Identifier values in the file match those stored in the portal.
Limitations
Note: Each user domain requires a separate upload. If you have users across multiple domains, plan your uploads accordingly.
