How to Delete Users

This guide explains how to delete user accounts from your platform, whether you need to remove individuals or multiple users. Deleting users helps you manage your data and comply with retention policies.


What You Need to Know

  • User accounts must be archived before they can be deleted.

  • Deleted users can be restored unless their accounts are erased.

  • Deleting users removes them from the main platform, but they may still appear in billing statistics until erased.


Step-by-Step Instructions

1. Manually Deleting Users

  • Go to the Management Console at the top of your homepage.

  • Select User Management from the right-hand menu.

  • Search for the account(s) you want to delete. Make sure you are searching for archived accounts.

To delete a single user:

  • Click on the user’s account in the search results.

  • On the attributes page, click Delete User at the bottom right.

  • Confirm the deletion when prompted. If successful, you’ll see a success message and a link to restore the user if needed.

To delete multiple users:

  • Add users to your selection. The number of selected accounts appears in the right-hand menu.

  • Choose Delete archived users.

  • Review the table of users selected for deletion. Uncheck any users you do not want to delete.

  • Click Delete to confirm.

If deletion is successful, you’ll return to the user search page. If not, you’ll see a message: 'User operation not performed'.


2. Automated Deletion Settings

Automated deletion of users by domain, including setting up intervals and notifications, is managed by your Customer Success Manager. If you would like to enable automated deletion for your domain, please contact your CSM, who will configure this for you according to your requirements.


3. Email Notifications for Deleted Users

Setting up automatic email notifications to domain contacts when users are deleted is also handled by your Customer Success Manager. If you wish to receive notifications, your CSM will ensure the correct contacts and email templates are set up for your domain.


Consequences of User Deletion

  • Deleted users cannot be found in User Management or included in Management Information reports.

  • All references to deleted users in Administrator activity logs are anonymised.

  • The deletion process may run overnight, especially for large numbers of users.


Tips

  • Always archive users before attempting to delete them.

  • For bulk or automated deletion, or to set up notifications, reach out to your Customer Success Manager.


Limitations

Note:

  • Only archived users can be deleted.

  • Deleted users remain in billing statistics until erased.

  • Automated deletion and notifications are managed by your Customer Success Manager.
