How to create an offline activity template

This article shows how to build an activity template that trainees or trainers can add to.

Permissions needed:

  • Management Console

  • Offline activities

1. Login and select Management console > Offline activities > Add activity:

2. Complete the activity template fields:

  • Domain
    Where this activity will be saved

  • Category
    Assign to organise the offline activity

  • Status
    Set either Live or Suspended.

  • Description
    Brief description of the activity

  • CPD Type
    If using the CPD tracker, define the activity type

3. (Optional) Tick the boxes to allow trainees to customise their activity details:

  • Activity Title
    Trainees can add their own

  • Activity Description
    Visible in the CPD export

  • Activity Duration:
    Select time spent (using a dropdown menu)

4. (Optional) Add Time restrictions for the activity

  • Expected Time to Complete
    Set a standard duration for the activity

  • Maximum Time Input Allowed
    Restrict the maximum time trainees can log

5. Choose who can create the training record.
Options are:

  • Trainee Only

  • Trainer Only

  • Both Trainee and Trainer

6. (Optional) Approval settings

Set who can approve, from:

  • Anyone

  • Line manager

  • Team

7. Completion settings

Set the completion date range that trainees or trainers can select when adding the activity. Options include:

  • Default to the record creation date.

  • Dates up to three years before the creation date

Choose how completion is tracked:

  • Completed/Not Attempted

  • Passed/Failed/Not Attempted

Choose whether to require a trainer-assigned score (unavailable if trainees create the record)

Choose whether to show a certificate for completed or passed activities (required to include the activity in the CPD Tracker)

Choose whether to allow deletion of completion

8. (Optional) Developmental need and reflective statement

Select whether the user can add a:

  • Developmental Need
    Visible in the CPD export

  • Digital signature
    Relating to completions

  • Reflective Statement:
    Allow users to enter a reflective statement for inclusion in the CPD export

9. Adding questions
Select Add question to include questions for trainees (end users) or trainers (line manager/domain manager). You can combine multiple question types to build a flexible, comprehensive and granular data collection source. Question options are:

  • Checklist
    Add a main question with a checklist of items for the user to complete.

  • Text Input
    Add a free-text question with space for users to respond.

  • File Upload
    Add a question requiring users to upload a file from their device.

  • Multiple Choice
    Add a question with up to three types of answer choices: Predefined items, text input, file upload
