This article explains how to make module text changes via Excel.
You must have Edit content and Import updates from MS Excel permissions to do this.
Making changes via Excel can be faster than amending each element individually. However, you must carefully follow the steps listed below to ensure there are no errors. Please see the table below, showing what you can and cannot change via Excel:
Can change via Excel | Cannot change via Excel |
Search and replace text | Delete or insert cells |
Edit text | Delete or insert rows |
| Delete or insert columns |
| Switch the order of cells, rows and columns |
Therefore, use Excel when you need to make text edits. Then, if you must delete sections or pages, change media files or the content order, please use the Content editor. Here is an article called Editing text that explains how to make text changes in the Content editor.
Making text changes via Excel
1. Find the module you want to edit. You can follow the steps listed in the article about Finding a module.
2. Select Export content on the right side of the page.
3. Select the Excel for customisation and translation option in the dropdown and remove all the HTML tags.
4. Select the Export button to download the Excel file.
Always Export a new Excel before making additional changes.
5. Optional step: hide A-F and I columns. You must not make any changes in these columns, so by hiding them you can avoid accidental edits.
6. Optional step: make the columns wider for easier reading.
7. Make the required text changes in column H called New content. The Excel holds the entire content of the module, allowing you to change the assessment questions as well.
Select the cell and edit the text. The structure of columns G and H must always match.
NOTE: Text with applied styling, such as bold, italic or hyperlinks, will appear on separate rows. When making changes, please keep the same structure - do not remove these rows.
8. If you need to replace a certain word, e.g., Company, you can:
Select the New Content column H.
Search for the word using the CTRL+F command.
Replace the word where needed.
9. If you wish to identify where column H text is different to the text in column G, you can:
In an empty column next to column H (in this case column J) select cell J2.
Select Formulas > Text > Exact.
Select cell J2, then select the square in the bottom-right corner, and drag it down to the last row of content - this will apply the formula to every row.
You will see True and False appear. True means that the content matches exactly, and False indicates that there are differences between columns G and H on that row.
Delete this column when you are finished comparing.
10. Save the changes.
Importing the changes made in Excel
At the bottom of the same Export content screen, you will find the Import updates from MS Excel section. If you can't see this section, you are missing the Import updates from MS Excel permission.
Please select the Excel with your changes and select the Import button. You will see a browser popup notifying you when the import is complete.
Checking the changes made
Check your changes via View as learner. You can find more information about this function in an article called View as learner.
Go through an entire module and check that all changes are amended and the module works as expected.
If you have completed all the module changes, please refer to the article titled What do I do when I finish creating or editing my module?.
*If you think you have the incorrect permissions, please contact your company admin or Customer success manager at [email protected].
