Rollout Procedure

This rollout procedure is designed to ensure smooth and successful deployment of new learning modules and courses. Following the steps below helps maintain platform quality, ensures proper communication, and minimises disruption for learners.

Advance Notice

  • For standard rollouts, please make sure to give a 48-hour notice before requesting deployment of new modules. If the rollout is more complex, please let us know as soon as possible so we can complete the setup in a timely manner.

Rollout Timing Guidance

  • Avoid rolling out training after 4:00 PM or on Fridays due to limited support availability.

Learning Path Information

  • Provide the name of the Learning Path code along with full assignment details and any related rollout instructions.

Module Version Management

  • Confirm whether older versions of the training should be suspended to keep the Content Management System environment clean and organised

Learning Path & Module Settings

  • Confirm all relevant settings including prerequisites, attempt limits, pass scores, and any completion requirements on the Roll Out Checklist found on your File Exchange.

Content Updates & Republishing

  • Once you've made your edits to the module, please review and publish your changes. Inform your Customer Success Manager if you need further guidance on this.

Live Review & Client Sign Off

  • All training should undergo thorough live reviews before launch. Final client sign-off is required prior to rollout.

Rollout Dates & Deadlines

  • Confirm rollout dates along with deadlines for both current staff and new joiners on the same rollout checklist.

Audience & Assignments

  • Provide audience list details, including manual learner lists or audience groups. Automatic assignments should be used wherever possible.

Ratings & Feedback Settings

Language Requirements (Optional)

  • Confirm all languages applicable to the module and ensure the correct versions are available.

Adhering to this procedure helps ensure a smooth learner experience, accurate reporting, and effective support coverage during all new rollouts.

FAQs

What is the difference between a Learning Path and a Module?

  • Modules are tracked activities such as e-learning courses, assessments or surveys created within Skillcast Portal.

  • Learning Paths are containers for one or more Modules (including SCORM content developed outside Skillcast Portal) that can be assigned to users directly and/or via Audience groups.

What if I want to change some details, once I have sent over the Rollout Checklist?

  • Please ensure you update the rollout checklist details, and reupload the file to the File Exchange. You must email your Customer Success Manager via [email protected] to notify them that you have uploaded a new checklist.

  • If the rollout has already been processed, it is important to discuss your requested changes with your Customer Success Manager, who will further guide you on the best next steps.
