How to Erase Users

Introduction

Erasing users is the final step in permanently removing user accounts from the platform. This process is irreversible - once a user is erased, their account cannot be restored. Only users who have already been deleted can be erased, and this action can only be performed by the contact(s) associated with the user's domain. While erased users will no longer appear in the main platform, they will still be included in billing statistics. What Does "Erasing Users" Mean?

Erasing a user means permanently removing all traces of their account from the platform. This action is only available to primary domain contacts who have the "Erase deleted users" permission. Erased users cannot be restored, and their data will be anonymised in all administrative records.

Step-by-Step Instructions

To erase users, follow these steps:

  1. Check Permissions

    • Ensure you are logged in as a primary domain contact and have the "Erase deleted users" permission.

  2. Access User Management

    • Go to the Management Console.

    • Select User Management, search for the relevant users and create a new selection.

  3. Choose Erase Deleted Users

    • In the User Management menu, select Erase deleted users.

  4. Search for Deleted Users

    • Use the interface to search for deleted users by date deleted, keyword, or associated domain.

    • Click Search for deleted users.

  5. Review Search Results

    • Results will appear in a table.

    • Uncheck any users you do not wish to erase.

  6. Erase Users

    • Click the Erase button at the bottom of the table.

    • A pop-up will appear with a warning and a list of users to be erased.

    • Click Cancel to go back or Erase to confirm.

  7. Confirmation

    • If successful, you will return to the user search page.

    • If unsuccessful, a prompt will display: User operation not performed.

Tips and Troubleshooting

  • Preview Changes: Before confirming erasure, double-check your selections to avoid accidental removal.

  • If you do not see the Erase deleted users option, verify your permissions and domain contact status.

Limitations

  • Erased user accounts cannot be restored.

  • Erased users will not appear in User Management or any reports under Management Information.

  • All references to erased users in the Administrator activity menu will be anonymised.
