Merge User accounts

This guide helps you merge duplicate user accounts so that all training records sit under a single profile. Merging ensures accuracy in reporting and prevents confusion when users appear more than once in your system.

What this feature does

Merging two accounts moves all training records from one profile into another. Once complete, you can archive and delete the duplicate account, ensuring the user has only one active profile going forward.

How to merge user accounts

You can merge accounts directly within your Management Console.

  • Select Management Console at the top of your homepage

  • Select User Management from the right-hand-side menu and search the relavent accounts

  • Ensure both users are added to your selection

  • Select Merge user accounts from the right-hand-side menu highlighted in red

  • Choose the account you want to keep by selecting the radio button next to it

    • You will see first name, last name, username, user ID, and status to help you select correctly

  • Select Merge to continue

  • Review the merge preview, which shows the activities that will be updated or added

  • If you are happy to proceed, select Merge Training Records

  • Confirm the pop‑up asking whether you are sure you want to merge these records

  • Once processed, a confirmation message will appear

Managing the duplicate account

After merging, the duplicate user may remain in the system without any associated training records.

  • Search for the account that now shows no training history

  • Archive and delete this account to complete the clean‑up

Tips and troubleshooting

  • Double‑check you are merging into the correct account, especially when users have similar names

  • Use the user ID as the most reliable identifier before confirming the merge

  • If the merge option is not visible, confirm that you have selected the appropriate number of users

Limitations

  • Once a merge is complete, it cannot be undone

  • Training records transfer, but profile attributes may still need updating manually

  • The merge tool only works when two accounts are selected
