Why has a user not been assigned content?

Users can be assigned training either manually or automatically. If you have set up audience groups and automatic assignments, content should be allocated dynamically based on user profile rules. If you have not configured these, you will need to assign training manually whenever new users are added to the portal.

If a user has not received their training despite automatic assignments being in place, here are some key things to check.

Is the user part of the correct audience groups?

Each learning path must have one or more audience groups associated with it.
If the user is not included in those groups, the learning path will not be assigned.
Check that:

  • The user meets the audience group rules

  • The user has been added via automatic assignments and not excluded unintentionally

Do your audience group rules need updating?

If your organisation structure or user data changes, your rules may no longer capture all relevant users.

For example:
Your Whistleblowing learning path uses the Staff - England audience group.
The rule includes users with Location: London.
A new office opens in Manchester.

Unless you update the audience group to include Location: Manchester, users in that location will not be assigned the learning path. Make sure your rules reflect current user attributes.

Is the user excluded by an exclusion rule?

Audience groups can include exclusion rules.
Check whether the user has been added to any exclusions that may be preventing the assignment.

Is the user data accurate?

Incorrect or outdated data is one of the most common reasons users do not receive content.

Examples include:

  • A user moving from Belfast to London but their location attribute not being updated

  • A misspelt value such as Lndon instead of London

Automatic assignments rely on correct profile data. Make sure user attributes are complete, accurate, and up to date.

Are your learning paths active?

If automatic assignments are applied to suspended learning paths:

  • The training will be assigned

  • But it will not be visible to the user or appear in reports (unless specifically filtered to show suspended items)

If you are configuring automatic assignments for the first time, ensure you are using active learning paths.
